This Privacy Policy explains how Jovien Communications (Pty) Ltd ("Jovien", "we", "us", "our") collects, uses, stores and protects personal information in connection with the Jovien Business Suite and our related applications, websites and social-media publishing tools (together, the "Services"). We are committed to protecting your privacy and to complying with the Protection of Personal Information Act, 2013 (POPIA) of South Africa and, where applicable, the EU General Data Protection Regulation (GDPR).

Information you provide
- Account and contact details such as your name, email address, telephone number and company details.
- Content you create within the Services, including documents, quotes, invoices, job cards, marketing posts, images and captions.
- Configuration details you enter, such as connection settings for third-party platforms.
Information collected automatically
- Usage and log data, such as pages accessed, actions taken, dates and times, and general device or browser information.
- Cookies or similar technologies used to keep you signed in and to operate the Services securely.
Information from connected platforms
- Where you connect a social-media or business account (for example Facebook, Instagram, LinkedIn or X), we receive the access tokens and account identifiers needed to publish content you request and to read engagement metrics (such as the number of likes, comments, shares and reach) on posts you have made through the Services.
3. How we use your information
- To provide, operate, maintain and improve the Services.
- To publish content to the third-party platforms you have connected and instructed us to post to.
- To retrieve and display engagement statistics for content published through the Services.
- To authenticate users, secure accounts and prevent misuse.
- To communicate with you about your account, support requests and service updates.
- To comply with legal and regulatory obligations.
4. Social media & third-party platforms
The Services integrate with third-party platforms including Meta (Facebook and Instagram), LinkedIn and X. When you connect one of these accounts:
- We use the access token you authorise only to perform the actions you request — such as publishing a post to your own Page or account, deleting a post you created, and reading engagement figures for those posts.
- Access tokens are stored securely on our servers and are not shared with any other party.
- Your use of each connected platform remains subject to that platform's own terms and privacy policy (for example, Meta's Privacy Policy).
- You can disconnect a platform at any time in the Services' settings, and you may also revoke access directly from within the relevant platform's own settings.
5. Legal basis for processing
We process personal information where we have a lawful basis to do so, including: your consent; the performance of a contract with you; compliance with a legal obligation; and our legitimate interests in operating and securing the Services, provided these are not overridden by your rights.
6. Sharing & disclosure
We do not sell your personal information. We may share information only: with service providers who host or support the Services under appropriate confidentiality obligations; with the third-party platforms you have connected, to carry out actions you request; and where required by law or to protect our legal rights.
7. Data retention
We retain personal information for as long as your account is active or as needed to provide the Services, and thereafter only as required to meet our legal, accounting or reporting obligations. When information is no longer required, we delete or anonymise it.
8. Security
We apply reasonable technical and organisational measures to protect personal information against loss, misuse and unauthorised access, including access controls, encrypted transport and secure storage of credentials. No method of transmission or storage is completely secure, but we work to protect your information and to respond promptly to any incident.
9. Your rights
Subject to applicable law, you have the right to request access to the personal information we hold about you, to request correction or updating of that information, to object to or restrict certain processing, and to request deletion of your information. 10. Data deletion requests
To request deletion of your personal information or of data associated with a connected social-media account, email info@jovien.co.za with the subject line Data Deletion Request and the account or email address concerned. We will verify your request and delete the relevant data within a reasonable period, except where we are required to retain it by law.
11. Cookies
We use only the cookies necessary to keep you signed in and to operate the Services securely. We do not use cookies for third-party advertising.
12. Children
The Services are intended for business use and are not directed at children. We do not knowingly collect personal information from children.
13. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the effective date above and, where appropriate, notify you. Continued use of the Services after any change indicates acceptance of the updated policy.
